A practical checklist for a date your team cannot miss

Reliable expiration tracking is less about adding another calendar alert and more about making the date, responsibility, delivery path, and outcome explicit.

Name the governing date

Record whether the date is an expiration, renewal, due date, or review date. A date without meaning invites the wrong action.

Confirm the source

Have a person verify the date and its meaning, especially when the record came from a spreadsheet or document.

Assign one owner

Make responsibility explicit. Other people can receive reminders, but one owner should be accountable for the outcome.

Check the recipients

A schedule is only useful when at least one valid, enabled recipient will actually receive it.

Preserve the outcome

Record what happened instead of overwriting the old date. Prior decisions make the next cycle easier to understand.
